Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
  • I've read Editorial CSIC's Good Practice Code and comply with all its guidelines.
  • The Authorship, good publication practice and copyright transfer statement is filled and signed, and it'll be added to the submission.
  • I have consulted and applied the journal's Research data policy.
  • The article has not been previously published, and has not been sent to another journal for consideration.
  • The submission is an original work and does not violate the copy and reproduction rights of other authored works. If necessary, the author has written permit for the reproduced work and a copy will also be submited.
  • The person making the submission has been authorized by all the article authors to submit and act as their spokesperson in front of the journal during the review, editing and publishing processes.
  • The text adheres to the length, format, references, citation of figures and tables (if applicable), and bibliography requirements outlined in the journal guidelines.
  • The article is adapted to the templates provided by the journal, both in its AUTHORED and its ANONIMISED versions.
  • Each of the authors has been identified including the following data:
    - Given name (in full form) and family name(s).
    - Email contact address.
    - Country of professional activity.
    - Institutional affiliation.
    - Open Researcher and Contributor Identifier (ORCID).
    - Role/roles according to the CRediT taxonomy.
  • TWO versions of the article are submitted, one in a Microsoft Word, LibreOffice, or compatible file, with all the author's information, and WITHOUT any graphical element (image or multimedia). A second file, in PDF format, which will include the content of the first one, and WITH all the graphical elements. In this version, any content that allows the identification of the authors in the text will be removed (name and affiliation, CRediT role/roles, self-citations, personal notes, etc.) and in the metadata of the file (check the "Properties" of the PDF in the "File" section). This second version will be the one used for the external evaluation. For the removal of metadata you can use specific software or one of the many free tools available on the Internet.

Archivo Español de Arte is a scientific journal that publishes original and unpublished articles. Founded in 1925 by the Junta para Ampliación de Estudios e Investigaciones Científicas, it is devoted to research into the history of Spanish and foreign art in relation to Spain, from the Middle Ages to the present day. It is aimed primarily at the scientific and university community, both national and international, as well as at professionals in the art-historical disciplines in general. It is published quarterly in Spanish and English.

Documents to be included in the submission

Papers must be original and unpublished and not under consideration for publication in another journal.

Submissions must contain the following documentation:

  1. Two copies of the text, one in anonymised pdf format and the other in editable text format with personal information.
    1. An anonymised copy of the text, in PDF format, intended for evaluation. This copy will be a definitive version in all respects, except that it will not contain authorship or institutional affiliation, e-mail address and ORCID identifier, and that such identity will not be deducible from references to other works of that authorship, acknowledgements or other information. It will also have the relevant illustrations, inserted in the text or at the end, and their corresponding captions. Please refer to the template provided by the journal for a suitable model of the anonymised text copy.
    2. Copy of the text in editable format with personal information: copy submitted in any editable word processing programme (Word, WordPerfect, Open Office). This copy will present, in a first section, the personal data consisting of authorship, institutional affiliation, e-mail address and ORCID identifier. Authors who do not have a personal ORCID identifier must register at http://orcid.org to complete this information. The identifier provided will have the following format: ORCID: https://orcid.org/0000-0000-0000-0000. A final section will include the "Article data and resources" with the following elements: "Acknowledgements" (optional), "Conflict of interest statement" (mandatory), "Sources of funding" (mandatory if present), "Authorship contribution statement" (mandatory), "Supplementary material" (optional) and "Data availability" (optional). Please refer to the template provided by the journal to follow a suitable model for the copy of the text in editable format.
  2. Authorshiop statement. It is a necessary and mandatory document that must always be completed, even for single-authored articles. The form can be downloaded from the journal's website. See also the section "Submissions - Authorship identification" to define authorship contributions according to the CRediT role taxonomy.
  3. Supplementary images, if any (see below for specific indications on number, quality and references of supplementary images).
  4. The author's details should be sent on a separate sheet: title of the article, name and surname, telephone number, academic status, name of the institution to which the author belongs, date of submission of the paper, e-mail address and ORCID identifier.

Content of the originals

Title: In English and Spanish.

Abstract: A brief summary of the content of the paper will be added in Spanish, followed by its translation into English. The maximum length of this abstract will be 10 lines for the articles section and 3 lines for contributions to the Varia section.

Keywords: They must not exceed 8 words and must be included in both Spanish and English.

Length: Articles (including spaces, abstracts, notes, bibliography and captions) should not exceed 60,000 characters with spaces and half that, 30,000 characters with spaces, for contributions to the Varia section.

Format: The font size should be 10,5, Times New Roman.

Pagination and notes: Pages must be numbered and notes placed at the foot of the page and numbered successively.

Quotations and interventions: Textual quotations must be placed between quotation marks, using high inverted commas [" "]. If the quotation is longer than five lines, it will be presented in the form of a paragraph, indented and in small type at 1 point. The author's intervention within a quotation will be enclosed in square brackets [ ]. The deletion of words, lines or paragraphs within the quotation will be indicated in the same way, with ellipsis [...].

Footnotes and bibliography: As a general rule, they will follow the author-year system of the Chicago Deusto Manual of Style (see below the sections: Footnotes, Footnotes and Bibliography).

Appendices (optional): Documentary appendices of more than two double-spaced pages (maximum 10,000 characters including spaces) or two pages of graphics or illustrations will not be accepted. The content of these pages will count towards the total number of characters or images in the article.

Inclusive and non-sexist language recommendations: The "Inclusive and non-sexist language recommendations" contained in this website (About and Good practice guide) must be taken into account when submitting original articles. In addition, authors of published works that have been carried out with research data including the sex variable are recommended to report on whether the conclusions have taken into account possible differences between sexes.

Bibliographical reviews and exhibition reports

Bibliographical reviews and chronicles of exhibitions may be submitted for consideration by the management team. In both cases, their length shall be a maximum of 9,000 characters, including spaces, at a 10,5 Times New Roman font. They must be accompanied, for the above-mentioned consideration, by copies of the books or catalogues on which the review or chronicle is proposed, which must be sent to the attention of the Director's Office or the Secretariat of the journal Archivo Español de Arte, Centro de Ciencias Humanas y Sociales, CSIC (C/ Albasanz, 26-28, 28037, Madrid, Spain).

Proposals will not be accepted without sending a copy of the publication. Click here to consult the specific rules for the preparation and publication of the texts of bibliographical reviews and exhibition reports, to which they must conform.

Only the editable text file with authorship should be attached to the submission. The anonymised pdf file is not required for these contributions, nor is it necessary to fill in and send the declaration of authorship or the CRediT taxonomy.

Footnotes

Footnote calls should be placed after punctuation marks.

Example: …ubicado en la ciudad de Toledo.1
               …ubicado en la ciudad de Toledo”.2

Footnote references

In footnote references, monographs, book chapters, articles or exhibition catalogues should appear only in summary form. In the case of a single author, they should appear as follows:

Surname year, xx-xx [pp].
Example: Olivera 1992, 24-48.

References to different works by the same author should be separated by a semicolon, without repeating the author's surname:

Surname year, xx-xx [pp]; year, xx-xx [pp].
Example: González 1999, 37-79; 2001, 56-98; 2006, 3-45.

Works by the same author published in the same year should be differentiated by adding a letter to the year:

Surname year(a), xx-xx [pp]; year(b), xx-xx [pp].
Example: Pueyo 1994a, 60-99; 1994b, 2-35.

If several authors are included in the same footnote, they should be cited consecutively separated by a full stop:

Surname year, xx-xx [pp]. Surname year, xx-xx [pp].
Example: Olivera 2001, 60-99. García López 1998, 64-123.

If a bibliographical reference has more than one author, this is indicated by the conjunction y/e:

Surname and Surname year, xx-xx [pp].
Example: Ramírez and Álvarez 2012, 32-87.

When the authorship is by four or more persons, only the name of the first person will be indicated at the foot of the page and they will all be listed in the bibliography section:

Surname et al. year, xx-xx [pp].
Ojeda et al. 2009, 128-129.

Press articles without authorship will be cited only in note, indicating the title and the name of the newspaper (and the place, if necessary), followed by the date (dd-mm-yy) and the pages:

Example: 'Hablando de Cossío'. ABC, Seville, 03-12-1940, 36.

References to primary sources will appear only in the notes and not in the bibliography. The author (if any) and the name of the document (in italics) will be cited, followed by the date, the name of the archive and the place of location, with indications of the collection, file and dossier (or location code). In brackets, in your first citation, indicate the abbreviation of the archive, which will be used in subsequent citations. Example:

Carta del marqués de Someruelos al secretario de Estado español, 16 de octubre de 1804, Archivo Histórico Nacional (AHN), Madrid, Estado, legajo 6366, exp. 95.

Footnotes should also include any comments or clarifications to the text that are considered appropriate. Care should be taken to keep such comments or clarifications brief and concise.

The formulas idem, ibidem, infra, supra, supra, ss, id., op. cit., cfr and similar should not be used.

Bibliography

A complete bibliographical list, in roman face, in alphabetical order, should be included at the end of the text. Only publications that have been used and are cited in footnotes should be listed. They should take the following form:

In the case of several works by the same author, they will be ordered chronologically, each time including the name of the author. Works by the same author, published in the same year, will be differentiated by adding a letter to the year.

Spanish surnames containing particles or articles (de, del, de las, de las, de los, etc.) must be mentioned by the name of the surname, without taking into account the particle-article, which must be placed at the end of the name.

Examples: Diego, Luis de...; Cobos, José de los....

This rule does not apply to Anglo-Saxon and Italian surnames.

For any other case of citation or variable not specified here, the indications suggested by the author-year system of the Deusto Manual of Style will generally be followed.

Illustrations

The number of illustrations attached may not exceed 15 in the case of Articles or 8 for texts in the Short notices section. They must be submitted in colour or black and white, in digital support with maximum resolution (minimum 300 dpi), in JPG/TIF CMYK colour format. It is recommended that they be of the best possible quality to ensure optimum reproduction.

The illustrations must be numbered consecutively according to the text, indicating in square brackets the place where they should be included, as follows: [fig. 1], [fig. 2], etc. An editable document will be included with a list of this numbering, followed by the text corresponding to each caption, including the authorship of the image and the place of origin. The name of the document will be preceded by the numbering of the image, followed by its identification (e.g.: Fig.1_Picasso_Guernica). Figures must be sent separately, in a compressed file.

The graphic material subject to copyright, or reproduction, must be accompanied by the corresponding authorisations and, where appropriate, the citation of the sources.

Tables must be headed by a title and accompanied by a numbered table footnote with a description of the table and its authorship.

Evaluation and publication

Once the originals have been analyzed by the Editorial Board, and it has been decided whether they are suitable for evaluation, will undergo external evaluation by two professional specialists on the subject. A “double blind” method of evaluation is used, in order to preserve the anonymity of both the author and the evaluators. Once it has been evaluated, the Editor-in-Chief will decide whether to proceed with its publication or not. The authors will be notified within nine months. Once this stage has been passed, the articles will go onto a waiting list to be published in the order in which they were received and following the criteria if the Editorial Board.

Every three years, a list of the reviewers involved in the evaluation of the articles received and published during that period will be published.

Proofreading and copies

The first proofs will be sent to the authors for correction, which should be limited, fundamentally, to typos or grammatical changes. Variations that significantly alter the layout will not be accepted. The cost of any corrections that do not comply with the above shall be borne by the authors. In order to avoid delays in publication, we ask that corrected proofs be returned as quickly as possible, through the OJS platform and within the same timeframe as the initial dispatch, but in no case more than 15 days. The correction of second proofs will be carried out by the management team or the Editorial Board.

The author will receive a notice of their availability on the journal's website.

Contents of the Archivo Español de Arte journal, published in paper and electronic versions, are the property of the Consejo Superior de Investigaciones Científicas, and it is necessary to cite the source in any partial or total reproduction.

Unless otherwise indicated, all the contents of the electronic edition are distributed under a Creative Commons Attribution 4.0 International (CC BY 4.0) licence.

Any works that do not adhere to these guidelines will be returned to their authors for any necessary modifications.

 

SUBMISSION INSTRUCTIONS

How to register at Archivo Español de Arte

1.- On the journal's website, click on the link "Register":

 

2.- On the registration page you will have to fill in all the fields (the "Family name" field is optional, although highly recommended) using lower case only for your email, username and password. After reading the Privacy Statement you will need to consent to the collection and storage of your data and complete the Captcha. Receiving notifications of new publications and notices is optional.

 

3.- You will receive a message with a link to activate your account at the provided email address. Once activated, you will be able to log in to your account with the credentials you created.

 

How to send an original manuscript to Archivo Español de Arte

1.- On the magazine's website, log in by clicking on "Login":

 

2.- Enter your username and password. Once you return to the magazine's homepage, click on the "Make a Submission" button:

Before submitting, please review the "Submission Preparation Checklist" and read the "Author Guidelines", the "Copyright Notice" and the "Privacy Statement". When you have all the required documents ready, click on the link "Make a new submission".

In subsequent logins, you will be taken to your user dashboard. There press the ‘New Submission’ button to submit a new article. You will be shown any articles received and in process under the ‘My Queue’ tab):

 

3.- As you will see on the new submissions page, submitting a manuscript is a four-stage process, in addition to a final section with information on follow-up:

3.1.- "1. Start"

At this stage you must select the language in which the article is written and the section of the journal in which you think it would fit, you must indicate that you have prepared all the items on the "Submission requirements" list and, optionally, you may send comments to the editor. You must comply with the terms of the Copyright Statement and the collection and storage of your data as the author of the article in accordance with the Privacy Statement of the Consejo Superior de Investigaciones Científicas (CSIC).

Then press the "Save and continue" button.

 

3.2.- "2. Upload submission"

In this phase, the files that make up the article and its additional documentation will be uploaded to the management module.

There are three parts to upload each file. In the first one, we will select which component of the article we are going to contribute and we will upload the corresponding file. Once uploaded, click on the "Continue" button. In the second part we will see the file metadata, with the possibility to edit them, but we will click "Continue" without making this edition.

In the third part, select "Add Another File", going back to "1. Upload file" and, without modifying the default option "This is not a revision of an existing file", select the new "Article Component" identifying what it is and uploading the file. Click "Continue" until you reach, once again, step "3. Confirm". This process must be repeated until all the files have been sent, and only when all the material has been uploaded should the "Complete" button be selected.

If after "Completing" the submission we realise that we have forgotten to upload a file, we can do so by selecting the "Upload File" button located in the upper right-hand corner of the "2. Upload Submission" tab:

Once all the submission files have been uploaded, we will press the "Save and continue" button.

 

3.3.- "3. Enter Metadata"

In this phase the author will enter the metadata of the article according to the journal guidelines. These are:

- Title in Spanish and English. If the article is written in another language, it will be introduced first this language and then in English.

- Summary or abstract in the same languages as the previous item.

- List of contributors. Although it was not necessary when registering as a journal user, in this section it is compulsory for authors to have their ORCID identifier and affiliation correctly indicated. If necessary, the information of additional authors will be added using the link "Add contributor":

- Keywords. The article keywords will be inserted in both languages. The entire list cannot be copied, must be entered one term at a time pressing "Enter" after each one.

- Funding data. The entities that have supported the research published in the article must be indicated. After selecting "Add funder", the name of the funder should be inserted again, which will trigger an internal search that will return the institution standardised name and DOI. If the institution does not have a DOI, it will not be able to register in this field. After entering the grant numbers, click on "Save".

To finish this phase of entering metadata, click on the "Save and continue" button.

 

3.4.- "4. Confirmation" y "5. Next steps"

In this last phase we will confirm the submission metadata recording linked to the uploaded files. Before clicking on the "Finish Submission" button, we can go back to the previous phases and review the information and files provided to check that they are all correct.

Once we click on the "Finish Submission" button, the article will be sent to the journal and its staff will contact you to continue with the process, as indicated in the "5. Next Steps" section.

 

How to check a revision report and submit a revised version of a manuscript

Once your submission has been reviewed, the journal's staff will send you a review report. Once received, you must log in to the journal and, in the "Submissions" section of your dashboard, you will be able to check that your submission is in the Review phase and, if the editorial staff has requested, whether it is necessary to make any modifications or revisions to the manuscript:

By clicking on the title of your submission, you will be taken to the workflow of your submission and you will be able to check the information related to the its review. You will find the notifications that the editorial staff has sent you, the attachments that the reviewers may have attached and, if requested, the possibility to provide a new version of the manuscript with the requested modifications by clicking on the "Upload file" button:

 


Research data policy

We recommend authors depositing data obtained from the research developed for the preparation of their article in repositories of recognized prestige, specific to the discipline or of a generalist nature. In any case, it must be a FAIR repository (Findable, Accessible, Interoperable, Reusable), preferably in open access.

There are several repositories destined to conserve and disseminate concrete data such as results of surveys, observations, interviews, simulations, automatically collected data, samples, models ... If necessary, authors can consult the Registry of Research Data Repositories re3data taking into account that each repository has its own deposit rules.

Those CSIC authors who would like to deposit their datasets in Digital.CSIC may do so by following these guidelines. They can use the Servicio de Archivo Delegado made available by the Technical Office of DIGITAL.CSIC and the Red de Bibliotecas CSIC.

DIGITAL.CSIC generates DOIs for datasets and associated software and is certified as data repository in re3data and Repository Finder. More information at Política de datos en Digital.CSIC.

If the author has deposited datasets in a repository, he should mention it in the article providing a brief description of the type of data deposited, the name and URL of the repository, the identification code and the data of the license for use and distribution. This information must be included at the end of the article, immediately before the bibliographic listing, under the heading "Data availability".
